Matrix Listing Status Definitions
This Quick Reference Guide provides you with a list of listing statuses and their definitions. Please note that any updates to a listing’s status must be reported to the MLS or input into the MLS database within (2) business days of the change. Failure to report or input the change within (2) business days will result in a status violation. Please refer to Section 10 of the CRMLS Rules and Regulations for more information.
ACTIVE (A) Active is an On-Market status and should be used when a valid listing contract exists and no offer (with or without contingencies) has been accepted.
ACTIVE UNDER CONTRACT (U) Active Under Contract is an On-Market status and should be used when an Offer is accepted and either 1) Seller requests that the property remain in an On-Market status and is looking for back-up offers, or 2) the sale is subject to court or other third party approval. Note: If your listing is not going to close by the end of the Estimated Close of Escrow Date you entered, you can avoid having your listing being Auto Sold by extending your listing’s Estimated Close of Escrow Date.
HOLD (H) Hold is an Off-Market status and should be used when a valid listing contract is in effect; however, because of various reasons such as repairs, illness, guests, etc., the Seller has requested that temporarily there be no showings. In Matrix, a listing may be placed on hold for up to 30 days at a time. This status is not for Short Sales or other transactions requiring third party approval, or confirmation, after an offer has been accepted by the property owner. A listing on Hold status will automatically be placed back Active on the Hold Activation Date.
WITHDRAWN STATUS (W) Withdrawn is an Off-Market status and should be used when a valid listing contract is in effect, however, the property will no longer be marketed. There is also potential to incur a duplicate listing violation if the seller relists with another listing agent.
PENDING (P) Pending is an Off-Market status and should be used when the Seller has accepted an offer and is not soliciting offers through the MLS.
CANCELED (K) Canceled is an Off-Market status and should be used when the listing agreement has been canceled. Note: Only Brokers and Office Managers have the ability to change a listing’s status to Canceled. Using Withdrawn in place of Canceled and will result in a status violation.
CLOSED (S) Sold is an Off-Market status and should be used when Escrow has closed or a propery has been Leased.
EXPIRED (X) Expired is an Off-Market status and should be used when the listing contract agreement has expired. The MLS platform will automatically set your listing’s status to Expired at the end of the Date of Expiration you entered during listing input.
If you obtain a signed listing agreement extension before your listing expires, you can modify the Date of Expiration for your listing in the MLS platform. If you obtained an extension but failed to update your listing before the end of the Date of Expiration, contact your Association or Board of Realtors ® for assistance with reactivating your listing and extending the Date of Expiration. If your listing has expired and you obtain a new listing agreement, you may input the property as a new listing.
