Entering a listing is one of the rudimentary foundations of working in real estate. Use this quick reference guide to lead you through inputting a listing in the CRMLS Matrix system.
Click the Add/Edit tab, then Add new and select the Residential Lease property type.
Select the County and enter the property’s APN (Assessor Parcel Number) or Street# and Street Name, then click Search.
Note: When searching for tax data by a property’s Street# and Street Name, do not include the street direction (North, South, East, or West) or suffix (Ave, St, Blvd, etc).
Click the Fill link to import tax data into your new listing.
Enter information for your listing in each section of the listing input wizard. Required fields are highlighted in yellow.
Select your status type: Active or Coming Soon. There is a link to the Coming Soon information video included on this page for your convenience.
If you select Coming Soon, remember you will be required to enter the Start Showing Date on the Office/MLS tab. Note: The Start Showing Date cannot exceed 21 days from the date you enter the listing.
If you select Active, the Start Showing Date field will not be accessible on the Office/MLS tab.
If this listing is a rental and you want to use the MLS-integrated RentSpree Online Screening Application, then navigate to the Land/Lease tab and under the “Deposits/Fees” section, select “RentSpree” from the Online Screening dropdown.
If you are not using RentSpree, select “None.” Enter all required and applicable fields.
When you’ve finished entering your listing information, click Submit Listing at the bottom of the page.
Note: If any required fields are missing information, or if the listing contains warnings or errors, a red exclamation point will appear next to each section and field that needs to be updated. All errors must be corrected before the listing can be submitted. If you are unsure whether you’ve completed the required fields, you can also click on the Validate button to check.
The Listing Input Succeeded screen will confirm that the listing was successfully added. From here you can use the options at the bottom of the screen to Continue Editing your listing or Add/Edit Supplements.
Since CRMLS Rules & Policies require at least 1 exterior photo of the property on a listing, make sure you use the Add/Edit Photos link to upload photos to your listing. Note: You must upload this picture within 2 days of entering the listing in the MLS.
Note: The listing will automatically be assigned a Multiple Listing Number, which will appear on the screen as a link. Click the Multiple Listing Number to view a Full Report of the listing, which you can also print or email.
It may take a few minutes for the listing to upload. Please be patient and do not submit duplicate listings.
Make sure you are familiar with the Compliance Advisory to avoid unnecessary violations.
When you are ready, click the Browse button to navigate to the folder your photos are located in. If you are using photos from another listing, you can use the Click here to import photos from another listing link at the bottom. You can add up to 75 photos to your listing.
When you’re finished adding and arranging your photos, click Certify and Save.
